How to use JobGuard
JobGuard protects your profit on every job: honest quotes, extra work caught and approved in writing, and a record of what happened on site.
1. Quote the job
Tap "+ New job", describe the work in your own words (type or speak) and add a few photos of the site. Say whether it is labour only or labour + materials. JobGuard tells you what it sees in the photos and asks a few questions, then suggests a price line by line — each line shows where the rate came from (UK cost guides, merchants, your own past prices). You check and change every price before the client sees anything.
2. Start the project
When the client says yes, tap "Client accepted — start the project". Your quote lines become the agreed scope, and JobGuard writes a job plan from A to Z that you tick off on site.
3. Keep a diary as you go
On site, tap "+ Add photo or note". Add photos (before, progress, after, extra work, issue) and say or type what happened. JobGuard picks out work done, things the client asked for, extra work and any amount you mentioned — you confirm before anything is saved. Hours you say out loud are logged too.
4. Catch extra work before it costs you
Anything outside the agreed scope shows up as extra work in "To do". Price it (JobGuard can suggest a price from live UK rates), attach evidence photos, and send it to the client with one tap by WhatsApp or SMS.
5. Let the client approve
The client opens the link without an account. To approve they enter a 6-digit PIN you give them separately — so a forwarded link can never approve work. They can also sign with a finger. You get a notification the moment they decide, and the decision is stored with the time, device and how they verified.
6. Get paid for the extra work
Approved extra work shows under "Waiting for payment" on the project page until you mark it paid. One tap opens WhatsApp (or SMS) with a polite payment reminder already written — the amount, what it was for and a link to the project page. JobGuard remembers when you last reminded the client.
7. Share the project with the client
Under "Client portal" on the project page you get a link that shows your client the progress, photos, the weather on site and every item of extra work with its status. There is no chat — just the facts.
8. Add your receipts (Pro)
Under "Receipts" on the project page, take a photo of a merchant receipt. JobGuard reads the shop, date, total and what you bought, and adds up what the job has cost in materials. Your client sees the receipts on their project page (tap the eye to hide one). Material prices read clearly are kept as your own prices and used in your next AI quotes with materials.
9. Ask the assistant
"Check progress & what's missing" looks at your photos, diary and plan against the quote and flags anything that might be forgotten — making good, waste, certificates, before/after photos, unpriced extras. You can ask it anything about the job.
How your records are protected
- Photos are stored privately. Every photo link expires after 15 minutes, including the ones your client sees.
- The audit trail of your project (what was sent, approved or declined, by whom and when) cannot be edited or deleted — not even by us.
- Nothing the AI suggests is saved to your project until you confirm it.
- Client approvals need the client's PIN, and record the time, device and verification method.
Evidence reports are records, not legal notices
JobGuard's project records — and any evidence report made from them (a Contemporaneous Evidence Bundle) — are a contemporaneous record, made at the time things happened, of your own project data in date order. They can support a conversation or a dispute, but they are not legal advice.
A record or report from JobGuard is not a formal Referral Notice, payment notice, pay less notice or any other statutory notice under the Housing Grants, Construction and Regeneration Act 1996 (as amended), and does not start adjudication. If you need to refer a dispute, get proper advice and serve the notices your contract and the Act require.
